I am looking for information on what type of backup documentation is required when we choose to use a manufacturer take back program as part of our recycling program. What information will the reviewers be looking for in the manufacturer brochures? I currently have two vendors willing to take back and recycle/reuse material but they do not have current brochures. They are willing to make them, but we need to know what must be within the brochure. Thanks!

I haven't personally dealt with take back programs but I would treat it similarly to project donations. In cases where a receipt is not available, I ask the vendor to write a letter on letterhead outlining the date(s) of acceptance of materials and the materials accepted. I ask that the project be referenced by name and to include the general contractor's name. In this case, you may need the subcontractor's name who supplied the original material. In addition, I would ask the vendor to outline how the material will be reused or recycled through their take back program so you can substantiate that the material was indeed diverted from the landfill.
It would be great if they can provide you with the weight or volume information. More typically in a donation, weight or volume information is not available. In that situation, the team does the estimating of the volume and converts it to weight (if needed).

Michelle, thanks for the quick response, The information is great. I assume also that we would need to report the weight of material collected through the manufacturer take back program in order to add to our % recycling spreadsheet.
